How to Ship an Engine, Gearbox or Set of Wheels Without It Arriving in Pieces

Almost everyone who has bought a used part at distance has the same story. The listing was good, the price was good, the seller seemed sound – and then a pallet turned up with a cracked bellhousing, a bent oil pan, or a puddle of gear oil where the wrapping used to be. The part was fine when it left. It stopped being fine somewhere between a forklift and a tail lift.

Heavy automotive parts are awkward freight. They are dense, they have sharp corners, they leak, and they concentrate their entire weight into a small footprint. None of that makes them impossible to send. It just means the default approach – box it, book the cheapest option, hope – fails more often than it works.

Here’s how to get a heavy part from one end of the country to the other in the condition it left in.

Work out what you’re actually shipping

Before you look at a single quote, get two numbers and one answer.

The first number is weight. Not your estimate – the real figure. A cast-iron four-cylinder block with head and ancillaries runs somewhere around 130 to 180 kg. A cast-iron V8 will clear 250 kg without trying. A manual gearbox is usually 40 to 70 kg, an automatic closer to 100 kg. A set of four alloys with tyres fitted lands around 80 to 100 kg. People routinely underestimate all of these by a third, and an under-declared weight is a surcharge at best and a refused collection at worst.

The second number is the footprint, measured at the widest points including anything sticking out – manifolds, mounting brackets, a clutch slave cylinder someone left bolted on. This decides which service you can book and whether the item fits a pallet without overhang. Overhang matters more than most senders realise, and I’ll come back to it.

The answer you need is whether the part is classed as dangerous goods. This trips up more shipments than weight ever does. Airbag modules and seatbelt pretensioners contain pyrotechnic charges and are restricted freight – most standard couriers will not touch them. Lead-acid and lithium batteries are restricted. Gas struts and some shock absorbers are pressurised. Fuel tanks with residue in them are usually refused outright, even if you’ve rinsed them. An engine or gearbox has to be fully drained of oil, coolant and fuel before it goes anywhere, and “mostly drained” is not the same thing.

If you’re unsure, ask before you book rather than after. A shipment stopped at a depot for undeclared dangerous goods is a slow, expensive problem.

Parcel, pallet, or a van of its own

There are three realistic routes, and picking the wrong one is where most of the damage originates.

Parcel networks work for small parts – an alternator, a set of injectors, a cylinder head on its own. Most UK carriers cap a single item at around 30 kg, and many refuse anything much over 1.5 metres long. The critical thing to understand about parcel networks is that they are automated. Your box goes down conveyors, gets sorted by machine, and drops into cages with other boxes on top of it. A 25 kg cylinder head in a cardboard box will win every collision it has along that route, and the box will not survive.

Pallet networks are the standard answer for anything heavier. UK pallet services are sold in tiers: a quarter pallet takes up to 250 kg at 0.6 m high, a half pallet up to 500 kg at 1 m, and a full pallet up to 1,200 kg at 2.2 m, all on a 1.2 m base. Oversized options go up to 2.4 m long and 2,000 kg. An engine on a quarter or half pallet is the normal, sensible choice. The load is handled by forklift from the moment it’s collected, which means it gets moved, set down, and moved again – but it is never manually lifted or thrown.

Dedicated transport is the third option, and it’s the one people overlook because they assume it’s out of reach. It isn’t always. If the part is fragile, high-value, irreplaceable, or needed by a specific time, a vehicle that collects your item and drives straight to the destination removes every handling point in between. There’s no depot, no cage, no forklift. For a rare block, a freshly rebuilt unit, or a restoration part with no replacement in existence, that direct route is often cheaper than the alternative – because the alternative is a damaged part and a claim that pays out a fraction of what it cost you.

The rough decision rule: under 30 kg and robust, parcel. Heavy but replaceable, pallet. Irreplaceable or time-critical, dedicated.

Packing a heavy part so it survives a forklift

Pallet freight is not gentle, but it is predictable. Pack for what actually happens to it.

Start by draining everything and leaving the drain plugs out overnight before refitting them. Bag and tape any port that could weep. Put an absorbent pad or a cut-open oil-drum liner under the part on the pallet – carriers can and do refuse a leaking pallet mid-journey, and you will not get it back quickly.

Choose a pallet larger than the part, not the same size. Nothing should overhang the edge, because the edge is what a forklift, a cage, and the next pallet in the trailer all make contact with. An exhaust manifold sticking two inches past the pallet edge is the first thing to be knocked off.

Then bolt or strap the part down so it cannot move at all. Ratchet straps through the pallet slats, not just wrapped around the outside. An engine should ideally sit on a proper stand or a bolted timber frame, sump down, resting on the block rather than on the pan. A gearbox should lie down rather than stand up – a gearbox on end is a tall, top-heavy object with a small base, and it will fall over.

Build up the corners with timber or corner boards, then shrink-wrap the whole thing tightly, pallet included, wrapping down over the base so the load and the pallet become one unit. Add stretch wrap, not less of it. It costs a few pounds.

Finally, take photographs. Photograph the part before wrapping, during wrapping, and finished on the pallet with the label on. Include something in frame that shows scale and condition. This takes two minutes and it is the single most useful thing you can do for yourself if anything goes wrong.

Insurance: the number that catches people out

This is where the story usually ends badly, and it’s worth understanding before you book rather than after.

Standard carrier liability in UK road haulage is generally based on weight, not value. The common baseline is £1.30 per kilogram – some services raise this to £5 per kilogram on UK and Ireland routes. Do the maths on a 200 kg engine at the standard rate and you get £260 of cover. If that engine cost you £2,800, you are carrying the other £2,540 of risk yourself, whether you realise it or not.

Additional transit cover is available and, on anything valuable, it is worth buying. Read what it excludes. Standard exclusions usually include inadequate packaging by the sender, incorrect labelling, second-hand goods in some policies, and consequential loss – meaning the cost of the part might be covered while the three weeks your car sat in bits is not.

Claim windows are short. Note visible damage on the delivery paperwork at the moment of delivery, not later that evening. Photograph the pallet before you cut the wrap. Report in writing within the carrier’s stated window, which is often days rather than weeks.

None of this is complicated, but all of it is easier to do before the part moves than after. Weigh it, measure it, declare it honestly, pack it for a forklift rather than for a shelf, and buy cover that matches what the thing is actually worth. Do that and heavy parts travel perfectly well.
